Publication Policies

At Scribeia, we are committed to maintaining the highest standards of integrity, transparency, and accessibility in scholarly publishing. Our policies are designed to protect the credibility of research, the rights of authors, and the trust of the scientific community.

Scribeia follows the Committee on Publication Ethics (COPE) principles and supports open science practices that encourage collaboration and reproducibility. All journals under the Scribeia publishing group adhere to these core policies unless stated otherwise in journal-specific guidelines.

1. Editorial Independence and Integrity

Scribeia ensures that editorial decisions are made solely based on scholarly merit, methodological soundness, and contribution to knowledge.

Editors act independently, without influence from sponsors, institutions, or commercial interests.

  • All editorial board members must disclose potential conflicts of interest.
  • Decisions are based on objective criteria and transparent review reports.
  • Editors may decline manuscripts that fall outside a journal’s scope or ethical standards.
  • Editorial independence is essential to uphold trust between authors, reviewers, and readers.

2. Peer Review Policy

All manuscripts undergo double-anonymous peer review, meaning both authors and reviewers remain confidential to each other.

  • Each submission is evaluated by at least two qualified reviewers with relevant expertise.
  • Reviews focus on originality, rigor, clarity, and ethical compliance.
  • Editors ensure constructive and respectful feedback.
  • Authors may appeal decisions by providing evidence-based responses.
  • To improve transparency, Scribeia may share anonymized review histories when authors and reviewers consent.

3. Authorship and Contributor Criteria

Authorship should accurately reflect intellectual contributions. We follow the ICMJE (International Committee of Medical Journal Editors) recommendations:

  • Each author must have made a substantial contribution to the conception, design, analysis, or interpretation of the work.
  • All authors must approve the final version before submission.
  • One author must be designated as the corresponding author to handle communication.
  • Contributors who do not meet authorship criteria should be listed in the Acknowledgments section.
  • Gift or ghost authorship is strictly prohibited.

4. Conflicts of Interest

All participants in the publication process—authors, reviewers, and editors—must disclose any relationships that could influence their judgment.

  • Authors should declare funding sources, institutional affiliations, or personal relationships that may create bias.
  • Editors and reviewers must recuse themselves from handling or reviewing manuscripts where conflicts exist.
  • Declarations are published with the article to ensure transparency.

5. Ethical Use of Artificial Intelligence

Scribeia embraces responsible use of AI tools in research and writing.

  • Authors must disclose the use of AI in data analysis, writing assistance, or image generation.
  • AI systems cannot be listed as authors, as accountability rests solely with humans.
  • Authors are responsible for verifying AI-generated content for factual and ethical accuracy.
  • Manipulative or fabricated AI outputs are grounds for rejection or retraction.
  • This policy reflects our belief that technology should augment human creativity, not replace it.

6. Research Ethics and Compliance

Authors must ensure that all research complies with relevant ethical standards:

  • Studies involving humans or animals must have institutional ethics approval.
  • Informed consent must be obtained for human subjects or identifiable data.
  • Research involving sensitive or restricted data should follow legal and privacy regulations (e.g., GDPR, HIPAA).
  • Plagiarism, data falsification, or image manipulation will result in rejection or retraction.
  • Scribeia may request documentation of ethics approvals at any stage of review.

7. Data and Reproducibility

We strongly advocate for open science and encourage authors to share data, code, and supplementary materials.

  • Data should be deposited in recognized repositories such as Zenodo, OSF, or institutional archives.
  • Articles must include a Data Availability Statement specifying where supporting materials can be accessed.
  • When data cannot be shared, authors must explain the reason (e.g., privacy, legal constraints).
  • Reproducibility statements and versioned code repositories are encouraged for computational research.

8. Plagiarism and Originality

Scribeia screens all submissions using similarity detection tools.

  • Manuscripts with excessive similarity or self-plagiarism are rejected.
  • Authors must properly cite and quote all reused material.
  • Preprints are allowed, but duplicate submissions to multiple journals are prohibited.
  • Republishing previously published material without clear justification is not permitted.
  • Integrity in authorship ensures trust in the scientific record.

9. Corrections, Retractions, and Withdrawals

Scribeia upholds accountability through clear post-publication policies:

  • Corrections are issued for minor errors that do not affect conclusions.
  • Retractions occur when major errors, ethical violations, or data falsification are confirmed.
  • Withdrawals are permitted before acceptance upon written request from the corresponding author.
  • Expressions of concern may be published while investigations are ongoing.
  • All notices remain permanently accessible and linked to the original article DOI.

10. Open Access and Licensing

Scribeia publishes all journals under open access terms to promote unrestricted sharing of knowledge.

  • Authors retain copyright under Creative Commons (CC BY 4.0 or CC BY-NC 4.0) licenses.
  • Readers may freely read, download, and share content with proper attribution.
  • Scribeia maintains a zero APC (Article Processing Charge) model, supported by volunteers, AI-driven editorial tools, and optional author support services such as formatting and research assistance.
  • No submission or publication fees are charged.
  • This ensures that cost is never a barrier to scientific communication.

11. Preprints and Self-Archiving

Scribeia encourages the use of preprint servers to enhance early dissemination.

  • Authors may post preprints before or during peer review.
  • Upon acceptance, the published version should include a link to the final DOI.
  • Authors may deposit accepted manuscripts in institutional or subject repositories.
  • We believe open collaboration accelerates discovery.

12. Appeals and Complaints

  • Authors may appeal editorial decisions or raise concerns about the review process.
  • Appeals must include a reasoned response outlining specific points of disagreement.
  • Complaints about editorial or ethical conduct are handled confidentially and impartially by the Scribeia Ethics Committee.
  • Decisions of the Ethics Committee are final.
  • All complaints are treated as opportunities to strengthen fairness and transparency.

13. Preservation and Access

Scribeia ensures long-term digital preservation of all published content through trusted archiving services and DOI registration.

  • Each article receives a permanent digital identifier (DOI).
  • All content remains available under open access without embargo.
  • Back issues and metadata are preserved for continuity and citation integrity.

14. Diversity, Equity, and Inclusion

Scribeia values diverse perspectives in science.

  • We encourage submissions from underrepresented regions and disciplines.
  • Reviewers and editors are selected to ensure global representation.
  • Our peer review process is designed to minimize bias and respect cultural differences.
  • Scientific progress depends on inclusivity and equal opportunity.

15. Policy Updates

Scribeia periodically reviews and revises its publication policies to reflect evolving best practices in scholarly communication, research ethics, and technology. Authors are encouraged to consult the latest version of these policies on the Scribeia website before submission.
